Griffith College seeks a Front Office Administrator for Griffith Halls of Residence, our student accommodation facility. Our preference is to recruit the Jobbridge internship scheme (see www.jobbridge.ie) but alterternatively we welcome suitable candidates who do not qualify for jobbridge.
Customer Service
· Ensure a high level of customer service and professionalism at all times
· Assist residents, general public and staff with enquiries
· Deal with telephone or e-mail queries and direct clients appropriately
· Maintain good communication channels through the use of the communication tools provided
· Handle student complaints where possible or direct to the Accommodation manager.
· Issuing and updating key fobs.
· Promote positive working relationships with residents and other departments within the College.
Administration
· Provide administrative support to the Accommodation Manager
· Log and follow up on maintenance issues and liaise with maintenance and contract staff
· Enter accommodation booking on TCas, ensuring all data is entered into the computer system and assisting in the processing of residential applications.
· Maintain and up date resident records (including financial / lease / 2nd moiety payments)
· Record charges for damage to apartments, communal areas and any costs incurred through breech of lease agreement.
· Record all resident rent/fine receipts and ensure they are brought to accounts in a timely manner.
· Undertake room checks and dilapidation reporting during the year where necessary including recording and administering the associated paperwork.
· Assisting with the compiling of apartment inventory forms and direct any repairs accordingly.
· Assist with the marketing initiatives of Griffith Halls of Residence to potential residents.
· Retain adequate levels of stationary supplies and order as necessary
· Collect and direct mail accordingly
· Keep office in tidy and orderly manner at all time
· Provide an ad hoc support to students
Health and Safety
· Be aware of the current health and safety regulations pertaining to Griffith Halls of Residence.
· Ensure all safety aspects are compiled with in relation to fire safety.
· Report accidents or incidents to the Accommodation Manager or Director Ronan Fenelon.
· Record details concerning mishaps, complaints or defects which are reported.
· Facilitate the arrangements necessary and participate where appropriate, in induction and training of all new staff.
· Assist the implementation of fire drills.
General
· To adhere to Griffith Halls of Residence policies at all times.
· To embrace and support any changes in technology and to assist in the implementation and operation of these changes.
· To perform such other duties appropriate to the post as may be assigned from time to time by the Manager or a nominee.
