Key Competences:

Manages the facility to ensure a productive working environment
• Provides Facilities Management service in the Cork building, meeting customer requirements to incorporate: purchasing on a replacement /replenishment basis, office consumables and all ancillary support services
• Acts as secondary key holder in case of building emergencies
• Manages the access code list and master keys for the facility
• Maintains high level of security in Reception area and manages the security pass system for visitors
Manages the reception area.
• Ensure the smooth and efficient running of the reception area by prompt answering of the telephone and the access phone for visitors and delivery companies, including notifying the relevant recipients as required.
• Responsible for the efficient functioning of the incoming post and deliveries
• Provides roll call for all visitors in case of emergency.
• Maintains up to date telephone listings
• Coordinates courier requirements for all departments and maintains records
Manages the provision of services and supplies to the business
• Day to day contact and management of supplier and other contractor relationships
• Schedules, oversees and records the provision of regular servicing and repairs by contractors including, but not limited to: building fabric, access control, air conditioning, fire panel, water testing etc.
• Organises maintenance and repairs for all photocopiers, mailing equipment and any other Facilities systems or machines
• Ensures standards of cleaning and catering contracts are maintained and manages the contracts on a daily basis
• Ensures on-site contractors’ compliance to company policies and procedures and Health and safety regulations, including Method Statements and Risk Assessments
• Schedules and manages annual/quarterly maintenance visits by suppliers and keeps control on a spreadsheet, sharing data with Windsor and York
• Manages and maintains the office consumables stock ensuring adequate supplies are maintained
• Works with the Procurement Managers to ensure that cost effective, comprehensive contracts are in place to meet all requirements
• Reviews and reports budget issues, maintains oversight of PO expenditure against budget for Facilities
• Manages the day to day control of the air conditioning units to ensure a comfortable working environment is maintained throughout the facility
• Manages the Company’s off-site archive

Risk Management:

• Identifies, assesses and reports risks relevant to the function and ensures appropriate controls are in place
• Co-ordinates Health & Safety and manages Health and Safety meetings and minutes. If not already qualified, works towards becoming the Health and Safety ‘Qualified Person’.
• Arranges Health & Safety training for individuals for First Aid, Fire Marshalls and Defibrillator courses and reviews expiry dates
• Supports the Facilities Manager on Business Continuity requirements in Cork
• Reviews the daily security patrols carried out by third party contractor.
