Role and Responsibilities
The ZEVI team within TII charged with the delivery of the National EV Charging Infrastructure Strategy and the Regional and Local EV Charging Network Plan, the National Road EV Charging Network Plan, and the implementation of the Data Strategy, requires an experienced administrator to support the planning and delivery of recharging infrastructure.
Key areas of responsibilities for this role:
· Facilitate the administrative and operational requirements of the ZEVI section within the Network Management Division of TII.
· Support the administrative and operational requirements of EV infrastructure schemes and grants.
· Coordinate and draft responses to queries received from the public and from stakeholders (including media and elected representatives).
· Research and communications management for the ZEVI team.
· Coordinate and support procurement, legal and administrative functions for the various infrastructure projects undertaken by ZEVI.
· Act as a point of contact for reporting, democratic process and governance interaction.
· Coordination with internal and external stakeholders as may be required.
· Undertaking of monthly profiling of out-turn spend.
· Support the Head of ZEVI in development of monthly outturn spend reporting and estimated spend profiles to year end.
· Support the ZEVI team in the preparation of annual funding allocations for upload to the Project Reporting System (PRS), including provision of project details for allocation booklets.
· Monitor/review ZEVI expenditure reports and collaborate with the PRS Section to provide ex-penditure updates and insights.
· Manage planning, organisation and delivery of workshops and training sessions for Local Authority representatives, both in-house and at locations nationwide
· Organise and coordinate meetings with internal and external stakeholders, both in person and online.
· Provide support to the management of ZEVI funding schemes’ compliance, including against PIFCO/ Infrastructure Guidelines/Transport Appraisal Framework and DPER Circular 13/2014.
· Office management, development of suitable file structures and coordination, ensuring infor-mation is up to date, documentation is in the right place, easily accessible and follows the quality management systems in terms of filing and naming convention.
· Assist and support procurement and audit compliance as well as any other statutory respon-sibilities held by the TII.
· Coordinate the preparation of reports and presentations for management and stakeholders and to support decision-making.
· Co-ordination/management of the team’s new starter/ consultant/contractors’ induction pro-cess, including liaison with parent companies plus TII functions.
· Assisting the team with the implementation of TII policies and procedures
· Implement department (TII) data protection activities
· Undertaking tasks, activities or other duties that may be required or assigned appropriately to the grade.
All the divisions within TII have interdependent responsibilities and close cooperation, collaboration and teamwork are required across the whole organisation to meet tight deadlines
Education & Experience
· A minimum of five years’ experience of working in a highly responsible position in a busy office environment.
· A third level qualification (NFQ Level 7) in a relevant discipline such as business, communications, project management or marketing is desirable.
· Excellent communication skills, both verbal and written, including good report writing skills and proven ability to present to staff and management.
· Be competent in the use of MS office applications, in particular Microsoft Word, Excel and PowerPoint and Teams and possess a proven aptitude for quickly learning new systems/soft-ware. Familiarity with the use of Power BI would be advantageous.
· Event management experience would be advantageous.
· Experience in management and implementation of good governance practices and of grant funding for projects.
· A good understanding of Infrastructure Guidelines and Transport Appraisal framework would be desirable.
· An understanding and/or experience of procurement process-framework call offs and management would be advantageous.
· Highly organised, with strong attention to detail and experience of managing a significant workload.
· Ability to work on own initiative, with strong multitasking capabilities.
· Ability to work to tight deadlines and prioritise tasks effectively.
· Familiarity with the culture and set-up of the public sector.
· Strong interpersonal skills, with ability to motivate and provide advice and direction to team members.
