Assistant Administrator
Founded in 1928 with a remit to preserve in print primary sources for Irish history, IMC publishes three to five books a year. In addition, online databases are published in association with certain publications. IMC holds book launches in Dublin and other locations in the country to celebrate and publicise new editions. IMC participates in collaborative projects — based on existing publications or new research — with other like-minded institutions on the island of Ireland and overseas. IMC participates in public-facing events such as the Dublin Festival of History to promote the importance of the preservation of and access to documentary records for Irish histories and culture based on its publications.
Job Description
We are looking for an organised and detail-oriented Assistant Administrator to support our operational activities and ensure smooth workflows and timely responses to queries. The successful candidate will be fully committed to supporting the work of IMC and will demonstrate an awareness of IMC’s long and distinguished history of public service and service to scholarship.
Key responsibilities
Reporting to the IMC Administrator and working under their direction, the appointee will undertake the following key responsibilities:
· Maintaining office records and updating the Manual of Office Procedures to reflect changes and developments in office workflows
· Co-ordinating book launches, lectures and other events, including invitations, attendance lists and event logistics
· Processing payments and invoices
· Managing advertising deadlines, including drafting advertisements and liaising with the Administrator and designers
· Managing and updating the IMC website and online shop using WordPress and WooCommerce
· Maintaining book stock, invoice and sales records, and liaising with storage facilities and other service providers
· Providing administrative and logistical support for meetings
· Maintaining IMC’s Charities Regulatory Authority (CRA) records
· Assisting the IMC Administrator with preparatory work on publications as required
Qualifications
A primary degree. Also a postgraduate qualification (or commensurate experience).
Skills & experience
The successful candidate will be able to demonstrate a track record in the following areas:
· Strong organisational skills with attention to detail
· Ability to take initiative while working carefully within agreed instructions and priorities
· Excellent written and verbal communication skills
· Proven ability to manage multiple tasks and deadlines effectively
· Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint and Teams
· Experience updating and maintaining website content using content management systems
· Ability to deal with website and phone enquiries from a wide range of people in a diplomatic and informative way
Desirable
The following skills are desirable:
· Experience using WordPress and web databases
· Experience of CRA compliance
· Experience drafting and reviewing advertisements
· Experience organising online events and webinars, including using Zoom Webinars
Remuneration
This employment will be appointed at a salary between Euro 48,749 and Euro 61,995. Appointment will normally be at the lower end of the scale. Progression will be reviewed annually.
Location
The location of this employment is 45 Merrion Square, Dublin 2.The employment will initially require attendance in the office five days a week; following a probationary period of nine months it will be possible to work from home one day a week. The working day is from 9:30 am to 5:30 pm.
