This role supports the smooth running of QQI certification across Level 5 and Level 6 programmes, tracking submission and assessment deadlines against the certification cycle to keep every cohort on track.

The Role

The role also carries total responsibility for all learner accounts on SAGE — from setup through to invoicing, payments and debt chasing — alongside day-to-day administrative support to the wider accounts function.

·      Process learner payments and post all transactions to SAGE, issuing monthly statements and managing ongoing invoicing.

·      Chase bad debts and overdue accounts, escalating persistent non-payment as required.

QQI Certification & Programme Tracking

·      Confirm submission dates for Level 5 and Level 6 programmes and track these against the certification cycle for each cohort.

·      Carry out regular check-ins on assignment and correction status with the correction team, ensuring certification stays on track and escalating any delays.

·      Chase learners who are late or at risk of missing submission deadlines, keeping records of contact and outcomes.

·      Confirm exam papers ahead of each assessment sitting.

·      Full responsibility for the entire certification process – including learner details, results sheet, external authentication, and upload to the QQI QBS System.

Skills & Experience that we need

·      Excellent working knowledge of SAGE accounting software is critical, including customer setup, payment processing, posting, and statement generation.

·      Excellent organisational skills, with the ability to track multiple submission and certification deadlines across overlapping cohorts.

·      High level of accuracy and attention to detail, particularly in invoice processing and record-keeping.

·      Confident, professional communication skills, both written and verbal, including handling learner and finance queries.

·      Proficiency in Microsoft Office (Word, Excel, Outlook).

·      Comfortable working with databases and tracking spreadsheets to monitor submissions, corrections, and certification status.

·      Ability to work independently, use initiative and follow established procedures reliably.

·      An understanding of, and commitment to, data protection and confidentiality.

·      2 years SAGE experience.

·      Experience in an administrative role, ideally within an education/training environment with exposure to QQI or similarly regulated certification processes.

·      Experience in MS Office

·      Experience in Customer Relations

·      Experience with MS Teams
