Learner Coordinator

 

 Our client, based in Cahir, Co. Tipperary, an organisation dedicated to providing QQI validated, quality assured education and training programmes to the agricultural sector are seeking an ambitious Learner Coordinator to join their expanding team.

As a first point of contact for learners, this role will ensure that every prospective learner is dealt with promptly, that records are complete and accurate, and that each cohort is fully prepared, correctly grouped and properly inducted. Beyond induction, the role maintains ongoing communication and engagement with learners throughout their time on programme.

The Role

The role carries equal weight across administrative processing and active co-ordination. It requires strong organisation and a learner-centred approach to manage a high volume of tasks across overlapping cohorts.

Act as first point of contact for learners and colleagues, responding to telephone and email enquiries, promptly and professionally.

Receive and process incoming applications from all channels (Jotform, email, post), creating a learner record on the database, forwarding details to Accounts with the receipt number, filing paperwork into cohort folders and contacting learners to acknowledge receipt.

Responsibilities to include:

Learner Interviews

·      Set up and manage the interview booking system for each cohort of learners, issuing the invitation email, tracking bookings and follow up with learners who hasn't booked in.

·      Prepare interview sheets and application forms, conduct or support learner interviews, check paperwork is complete and flag any learner supports or accessibility needs, confirm completion of learner on boarding and exam location on the database.

Group Allocation & Scheduling

·      Allocate learners to groups confirming numbers and timetables with each exam and farm venue.

·      Finalise and maintain group compositions on the database, reviewing timetables and venue arrangements as changes occur.

Induction Planning & Preparation

·      Confirm venue arrangements, co-ordinate the induction day schedule, arrange book packs, staff running order and all induction paperwork (contracts, MS Teams guides, icebreaker materials, and logins).

·      Communicate with learners to confirm their group, timetable, and induction location ahead of the day.

Learner Induction

·      Manage late additions, withdrawals, and switches to online induction, updating records accordingly.

·      Run the induction day itself — presenting and delivering both the in-person and online sessions — ensuring book packs and logins are in place and attend first online classes to support learners alongside IT.

Records, Data & General Administration

·      Maintain accurate, up-to-date learner records and orderly cohort folders in line with data protection (GDPR) requirements and provide general administrative support to the learner services and programme team.

Ongoing Learner Communication & Engagement

·      Act as the main point of contact for all learners, using Compass and other IT systems to issue communications and surveys.

·      Ensure all learner contact and engagement records are up to date.

·      Carry out regular check-ins, engaging early with learners showing signs of difficulty or disengagement and flagging any at-risk learners to the appropriate person — all in line with GDPR.

Assignments, Corrections & Assessment Support

·      Manage learner assignments and project submissions, following up with learners on late or missing work.

·      Support the corrections and results process, working with the team of correctors and external assessors to co-ordinate the marking and return of learner work.

·      Strong administrative experience, ideally within an education, training, or similarly regulated / process-driven environment.

·      Excellent organisational skills and the ability to manage a high volume of tasks and overlapping deadlines across multiple cohorts.

·      High level of accuracy and attention to detail, particularly in record-keeping and data entry.

·      Confident, professional, and courteous communication skills, both written and verbal, including handling telephone enquiries.

·      Comfortable working with online tools, databases, and learner communication / engagement platforms.

·      A learner-centred approach

·      Ability to work independently

Skills & Experience that we need

·      An understanding of, and commitment to, data protection and confidentiality

·      A qualification in Office Administration is desirable

·      2 years’ experience working in a busy office environment

·      Experience in MS Office

·      Experience in Customer Relations

·      Experience with MS Teams

The Offer

The is a full-time permanent role with competitive salary of up to €35,000K per annum, depending on candidates’ experience and qualifications.

This role is based in the company's office in Cahir Co. Tipperary so candidates must be based in the region or a short commute.
