We are recruiting an organised and passionate Senior Meeting & Events Coordinator to join our Client, a large 4* Hotel. The Senior Meeting & Events Coordinator will report the Sales & Marketing Manager and General Manager.

Overall Job Purpose:

To deliver exceptional friendly service at all times, to every guest, in line with the Hotels customer service program.

To respond to wedding and events enquires in in a professional, efficient and customer focused manner.

To be respectful, polite, friendly, and unfailingly helpful in all your dealings with guests and colleagues alike, recognising that you are an ‘ambassador’ of the Company at all times

Main Duties:

  • Maintain daily/monthly booking files- all weddings and events within the Hotel      
  • Co-ordinate the administration and distribution of all function sheets/menus.
  • Ensure all additional events are dealt with and distributed immediately and communicated to appropriate departments.
  • Send out the required information to clients on request.
  • Create support material to facilitate same- customer follow up documentation, quotations, contracts, function sheets etc.
  • Gather key customer feedback and report points of issues to The Sales and Marketing Manager.
  • Produce sales documentation i.e., Menus and any other internal sales documents.
  • Conduct competitor analysis report for all competitors. 
  • Liaise with reception and accounts to ensure correct billing of all weddings and events.
  • Confirm in writing to all clients – the details of their bookings with the relevant property’s terms and conditions whilst confirming payment details.
  • Ensure accurate and complete entries into Hotsoft in accordance with established procedures.
  • Ensure to meet with clients to provide a show around of facilities and information as necessary to secure booking.
  • Continually audit stocks of all wedding and events marketing collateral and inform with sales and marketing manager when reordering is required.
  • Attend wedding fairs and trade shows as required.
  • maximising potential Revenue at all times

Minimum Requirements:

  • Minimum of 2 years’ experience as a Wedding & Event Coordinator in a 4* hotel;
  • Be highly motivated and driven to achieve targets;
  • Possess excellent interpersonal skills;
  • Excellent attention to detail;
  • Ability to manage multiple projects at one time and achieve results
  • Be experienced with MS Office packages such as Outlook, Word, Excel, etc.

You must have current legal status to live and work in the Republic of Ireland without restrictions, Role not eligible for Work Permit
