Facilities Manager – Public Sector (3month Contract)

About Your New Employer
Join an organisation that is a long-established academic institution that supports and promotes research across the sciences, humanities, and social sciences. It provides a platform for scholarly exchange, publishes academic works, and manages significant collections of historical and cultural materials. The institute are now currently seeking an experience Facilities Manager to join them on a 3 month contract position.

About Your New Job
This is a 3 month contract position for a Facilities Manager to look after two multi storey buildings for a Public Sector organisation in Dublin City Centre.

Responsibilities;

  • Direct, coordinate, and plan essential services including reception, security, maintenance, mail, cleaning, catering, waste disposal, and recycling.
  • Prepare tender documents, request quotations, and manage projects in line with public procurement regulations. Calculate and compare costs to achieve maximum value for money.
  • Oversee and coordinate the work of reception, cleaning, and security staff, managing performance issues as needed.
  • Manage external bookings for the organisations rooms/venues and support related events, ensuring smooth operations even beyond normal working hours.
  • Track building issues, plan for improvements, and liaise with the Office of Public Works (OPW) to ensure maintenance of the premises.
  • Ensure the oganisation meets statutory obligations in health, safety, and welfare at work, including training, inspections, and risk assessments.
  • Participate in the RIA Green Team to help achieve the oganisation’s sustainability and climate goals.


What Skills You Need
Essential Requirements:

  • Must be able to start the role at short notice
  • A third-level qualification in facilities management or similar.
  • A minimum of five years’ facilities management experience or other relevant experience.
  • Exceptional interpersonal skills and the ability to develop and maintain good working relationships.
  • Experience in goods and services procurement, including drafting Requests for Quotations.
  • Good organisational skills with the ability to multitask, prioritise, and execute a busy workload.
  • Ability to work under pressure to deadlines and use initiative individually and as part of a team.
  • Good project management experience and time management skills.
  • Managerial and teamwork skills with the ability to lead and motivate a small team.
  • A practical, flexible, proactive, and innovative approach to work.

Desirable Requirements:

  • A post-graduate qualification.
  • Certification in Health & Safety.
  • Certification in project management.
  • Working knowledge of the Irish language.
