John P Burke & Co. is an Accountancy & Audit firm based in Lucan, Co. Dublin.

THE ROLE

This is an opportunity for an experienced Senior PA to join our busy office in Lucan, Co. Dublin. We are looking for an efficient, highly-organised and reliable individual, who is pro-active and a team player.

The successful candidate will provide professional, efficient and hands-on PA support to the Principal with regard to both the accountancy firm and other professional interests. A high attention to detail along with excellent organisational, communication and presentation skills are key components of the role. The successful person also needs to show initiative, be flexible in their approach to work, and be able to work autonomously in a pressurised environment.

RESPONSIBILITIES / DUTIES WILL INCLUDE, BUT NOT BE LIMITED TO:

Production of high quality documentation (letters/emails/faxes/memos/ reports etc.) from dictation and hand written drafts, as required.

  • Diary Management – the organisation and maintenance of the Principal's diary, co-ordination of meetings, making appointments, ensuring that the Director is well-prepared for meetings with the relevant documentation.
  • Using initiative in the co-ordination and prioritisation of various tasks.
  • Dealing with queries from clients quickly & efficiently, or forwarding to the relevant person.
  • Receipt & distribution of incoming email, faxes and post for both the Principal and all staff members.
  • Organising of travel arrangements as required. Researching, co-ordination and production of detailed itineraries, when required.
  • Receiving calls for the Principal, taking messages and pro-actively delegating where possible.
  • Prioritisation and delegation of all urgent matters including written/emailed correspondence, reports, requests for information etc. when the Director is out of the office.
  • Handling of sensitive information using discretion and confidentiality.
  • Occasional Reception cover (training will be provided).
  • Meeting and greeting clients/visitors.
  • Maintaining holiday/sickness records for the Principal’s team members.
  • Ensure all documentation is filed appropriately on a daily basis.
  • Other ad hoc administration/office duties, as required.
SKILLS/ABILITIES

  • Candidate must have excellent multi-tasking and organisational skills. Accuracy and a high attention to detail are essential.
  • Candidate must have excellent interpersonal and communication skills at all levels.
  • He/she must be confident, well-spoken & well-presented; and must also be a strong communicator.
  • He/she must have a high degree of flexibility.
  • Candidate must possess good communication skills – both oral and written.
  • He/she should demonstrate a high level of energy, enthusiasm, initiative, motivation and commitment.
  • Ability to work in a pressurised environment at times.
  • Ability to work on their own initiative, as well as part of a team.
  • Have experience of handling sensitive information, using discretion and confidentiality.
EDUCATION & EXPERIENCE

  • The successful candidate will have at least 5 years’ Senior PA experience.
  • Previous experience working in an Accountancy Practice a definite advantage .
  • An administrative qualification, while not essential, would be advantageous.
  • Excellent knowledge of the MS Word, Excel & Powerpoint are essential. Other desirable software packages include Outlook, Project, etc.
  • Previous Dictaphone experience would be advantageous.
WORKING HOURS

9am to 5.30pm Monday to Friday (with 1hr for lunch).
